Frequently asked questions.

Straight answers about how Rentora works, how your data is protected, and what each plan includes.

Getting started

What Rentora is and who it's for.

What is Rentora?

Rentora is cloud-based car rental management software. Each rental company gets a private, branded workspace to manage vehicles, drivers, customers, bookings, payments, expenses, maintenance and reports.

Who is Rentora for?

Car rental businesses of any size — self-drive rentals, chauffeur services, corporate fleets, airport transfer and tour operators — that want to replace spreadsheets and chat threads with one system.

Do we need to install anything?

No. Rentora runs in any modern browser on phones, tablets and desktops. Currency and time zone are configurable for your region.

How do we get started?

Register your company and choose your workspace address. The platform team reviews it, assigns a plan and activates your workspace. Then you add vehicles, drivers and staff. See how it works.

Rentals & payments

Bookings, pricing, deposits and balances.

How does Rentora prevent double bookings?

A vehicle or driver can't be confirmed for two rentals with overlapping dates. The rule is enforced inside the database, so it holds even when two staff members book the same car at the same moment.

What are the rental statuses?

Pending, Confirmed, Active and Completed, with Rejected and Cancelled for bookings that don't go ahead. Only valid changes are allowed, and every change is recorded with who made it and when.

How is the rental price calculated?

Billable duration × agreed rate, plus extras, minus discounts, plus tax. The price is locked when the rental is confirmed, so later rate changes never alter it.

Can customers pay in parts?

Yes. Record as many payments as you need by cash, bank transfer, card or your own methods. The outstanding balance updates after every payment.

How are security deposits handled?

Deposits are tracked separately from rental revenue and marked as held, refunded or applied to an approved charge, so your revenue reports stay accurate.

What happens when a car needs maintenance?

Scheduling blocking maintenance takes the car out of booking for that period, and the service cost is recorded against the vehicle.

Security & data

How your company's data stays yours.

Is each company's data kept separate?

Yes. Every record belongs to exactly one company, and every request is checked on the server for membership, role and permission before data is read or changed. Changing a link or ID can't reveal another company's data.

Who in my team can see what?

Owners decide. Managers and staff get granular permissions — for example, creating rentals but not viewing reports — and the server enforces them on every action.

What happens when we remove a staff member?

Their access ends immediately, even if they are already signed in on another device.

Are uploaded documents private?

Yes. Licenses, insurance papers and ID documents are only available to authorised members of your company — never through public or guessable links.

Branding & documents

Your logo, colors and PDFs.

Can we use our own logo and colors?

Yes, on plans that include custom branding. Your logo and colors appear across your workspace, invoices, receipts and rental agreements.

Which documents can Rentora generate?

PDF invoices, payment receipts and rental agreements, each with your branding, customer and vehicle details, itemised charges, payment information and your terms.

Can the platform lock our branding?

The platform admin can lock or override individual branding settings. Anything not locked can be edited by the company owner if the plan allows it.

Plans & billing

Subscriptions, limits and renewals.

Which plans are available?

Starter, Business and Premium. They differ in vehicle and staff limits, advanced reports, custom branding and the AI assistant. Compare them on the pricing page.

How are subscriptions paid?

Subscriptions are arranged directly with the Rentora team, for example by bank transfer, and each payment is recorded in your billing history.

Is our data deleted if the subscription expires?

No. Your data is preserved. After a grace period, normal operations are restricted until you renew.

AI assistant

What it can and can't do.

What can the AI assistant do?

It answers questions about your own company — available vehicles, upcoming and overdue returns, expiring documents, revenue and outstanding balances — and drafts customer messages such as return reminders.

Can the AI change our data?

No. The assistant is read-only. It can't cancel rentals, change prices, edit payments or manage users, and anything consequential always needs a person to confirm it.

Can the AI see other companies' data?

No. Every question is scoped to the signed-in user's company on the server, and the assistant only sees what that user is allowed to see.
